Approved projects - what next?
If your application is successful, you will be required to sign an Australian Government Envirofund Funding Agreement. If your project includes fencing activities you may also be required to sign a Fencing Management Agreement (incorporated at Schedule 2 within the Australian Government Envirofund Funding Agreement).
Please do not attach Funding Agreements or Fencing Management Agreements to Envirofund applications; they are not required unless your application is funded.
Funding Agreements
The Australian Government Envirofund Funding Agreement sets out the conditions of Envirofund funding specific to your project. The Funding Agreement will be sent to you by the Envirofund and must be signed and returned before funding can commence for your project.
Fencing Management Agreement
An Australian Government Envirofund Fencing Management Agreement (Schedule 2 of the Australian Government Envirofund Funding Agreement) is required to be signed where:
- the project contains funding for fencing at a rate of more than $800 per kilometre; and
- a conservation covenant is not in place.
The Fencing Management Agreement sets out how the fenced area is to be managed in the period following the Envirofund project activity.
If the funding recipient is the landholder, the Fencing Management Agreement is between the landholder and the Envirofund. Otherwise, the Fencing Management Agreement is between the funding recipient and the landholder.
We will pay you the funds for your project when you have:
- Signed and returned the Funding Agreement
- Signed and returned the Fencing Agreement (if relevant) and
- Met any conditions that must be met before you commence your project (these will be specified in the Funding Agreement)
Monitoring, evaluation and reporting
You can keep track of progress with your project by recording your activities and monitoring the results. This information will help you know if you are making progress and on-track with your project. It will also enable you to evaluate and report on the success of your project in the Final Report.
To assist us better understand the needs of community groups, we will include a pre-project survey for you to complete and return with the signed Funding Agreement. This survey provides us with information about your experience and understanding of natural resource management issues at the start of your project. It also asks questions about the sources of advice and assistance you have been able to call on.
You will be asked similar questions at the end of your project. We will then be able to see if the Envirofund is achieving its aim of improving the community's or individual's skills and understanding of natural resource management.
Remember, every project is a learning experience. By reflecting on how your project went, you will be in a much better position to begin the next project, if that's what you want to do.
You are required to submit a final report within 90 days of completing your project.
Audit of project expenditure
You will have to fully account for your expenditure of the Envirofund grant in your Final Report. To do this, you should keep proper accounting records for all project costs, including your cash and in-kind contributions.
If your project payment is $5000 or more you will need to provide an independently audited financial statement with your Final Report. You can request up to $500 towards the cost of an audit, where this is required, in your application for funding; or you may include this cost as part of your contribution to the project. You may not seek funding for audit costs if your audited financial statement is provided by your state or local government sponsor.
If your project payment is less than $5000 then you will be required to provide a financial statement but this will not have to be audited. Audit costs cannot be sought in this case.
Project variation
You may find from monitoring your project that you need to change the budget or project activities, or that you may need more time to finish the project. In these cases you must request a project variation from the Envirofund by email or letter. Please quote your state and project identification number in any correspondence.
If the changes to the project are significant, we may need to agree on a revised Funding Agreement. Do not make any changes to your project activities until you receive written approval from us.
